Sponsorship guidelines

The Department of Communities receives a large number of sponsorship requests. The Department has developed the following guidelines to enable consideration of all sponsorship requests objectively.
General
The Department will consider proposals in all categories, except:
- Initiatives that include relationships with tobacco and alcohol companies
- Initiatives that promote exploitation of children or young people
- Initiatives that do not recognise diversity in communities, families or culture
- Initiatives that promote relationships with organisations that are under the regulatory or licensing authority of the department
- Initiatives that include product endorsements.
Generally requests need to be received six months ahead of the activity or event in order to ensure that appropriate consideration is given to the request, that funding commitments are taken into account and reporting requirements are able to be met.
Sponsorship proposals should provide a specific opportunity for Department of Communities to promote our message to the audience.
It is expected that all organisations sponsored by Department of Communities will invest at least 10% of the total value of the sponsorship to promote this relationship.
Information required
All requests should include the following information:
- Executive summary - outlining how the proposal links with Department of Communities strategic objectives and target audience
- Background information on the company or body that manages the event/activity, including a proven ability to manage similar initiatives, proven ability to manage funds, and executive management team credentials
- Background information and statistics on the event/activity over previous years
- Proposed target market for the event, including demographic, geographic and psychographic information
- Proposed date and location of the event/activity
- Overview of marketing plan - detail about marketing and media coverage of the event/activity prior to start date, including logistical and budget responsibility
- Comprehensive list of benefits, including how they relate to Department of Communities
- Specific opportunities to promote Department of Communities key messages to your audience
- Purpose of the sponsorship, ie specific activities the sponsorship will be used to fund
- Timeline, including important deadlines
- Sponsorship valuation details, including payment terms, cash and contra interests
- List of other sponsors who have committed to date
Benefits for Department of Communities
Department of Communities actively seeks opportunities to promote added value to Queensland communities and documenting such opportunities will benefit your proposal. Logo exposure opportunities for the Department of Communities should not be considered the primary benefit of sponsorship.
The following list of opportunities is provided as a guide only to assist with your proposal development. The list provides examples of opportunities of interest to the Department of Communities:
- Naming rights to the initiative or a component of the initiative
- Onsite information facility - exhibition stand
- Access to your mailing list - to send information about our involvement/commitment/objectives
- Promotion of our key messages through media - interviews and community service announcements that align with our strategic objectives (not just logo exposure)
- Provision of information materials and/or Internet content
- Speaking opportunities for representatives of the Department
- Conducting audience research before, during and/or after the event, that include responses to questions posed by sponsors and feedback provided to sponsors
- Launching a new policy or initiative for the Department
- Promoting employee morale
Process for consideration
- All proposals are reviewed by the Events and Sponsorship Coordinator to assess suitability, feasibility and resources required (human and monetary)
- Organisations seeking sponsorship may be assessed by industry bodies to authenticate credentials
- Recommended proposals will be presented to applicable business units within the department for approval
- Receipt of your proposal will be acknowledged within four weeks
- Decisions on sponsorship may take up to eight weeks
